Executive Assistant
RESPONSIBILITES:
- Manage CEO’s calendar, travel, and communications with utmost discretion.
- Prepare detailed correspondence, reports, and presentation materials.
- Coordinate and support Board and Committee meetings, including logistics, materials, and minutes.
- Coordinate internal and external meetings, including preparing agendas, materials, and follow-ups.
- Serve as a gatekeeper and liaison between the executive and internal/external stakeholder.
- Draft, edit, and proofread emails, reports, presentations, and other communications.
- Organize and maintain confidential files and records, both physical and digital.
- Anticipate executive needs and proactively address challenges.
- Maintain executive administrative systems and provide event planning support.
- Liaise with Board members and other stakeholders with professionalism and efficiency.
- Process expense reports, maintain records, and support executive-level projects and events.
- Coordinate various agency wide events/activities, which may include dinners, workshops, retreats and meetings.
QUALIFICATIONS:
- Bachelor’s degree required.
- Minimum 5 years of executive-level administrative support.
- Experience with Board of Directors support preferred.
- Valid driver’s license required.
OTHER REQUIREMENTS:
- Proficient in MS Word, Excel, PowerPoint; quick to learn new tools.
- Strong written and verbal communication; skilled in editing and proofreading.
- Proven ability to create and streamline administrative systems.
- Highly organized, detail-oriented, and able to prioritize multiple tasks.
- Exercises sound judgment and works proactively.
- Stays calm and accountable under pressure.
- Works independently and as part of a team.
- Flexible with schedule and location based on CEO’s needs.
- Maintains strict confidentiality.
