Job Description

Executive Assistant

Must be proficient in Excel, Word, Power Point, Experience  

Responsibilities include:

Executive administrative support:

  • Calendar maintenance including scheduling meetings and calls
  • Assist with drafting letters, board reports, speeches
  • Travel arrangements
  • Faxing/scanning, filing, data entry, copying and overall gatekeeper/problem solver

Administrative office support:

  • Office support including answering phones, ordering supplies and ensuring that the office is maintained, clean and orderly.
  • Obtain certificate of insurance for program sites when needed.
  • Act as liaison for IT needs at all sites working with the IT provider to schedule visits, order equipment, manage email system, etc.
  • Point person on copier and other office equipment repairs and maintenance, phone system, etc.

Fundraising and development support:

  • Data entry and report queries in donor system
  • Direct mail
  • Assist with registration, ad book and mail merges for special events
  • Thank you letters, tracking of pledge payments, follow up invoices, etc.

Maintain inter-agency communication systems:

  • Updating of staff contact lists
  • Work closely with administrative support at sites to streamline communication
  • Keeping interdepartmental calendar and scheduling office, director and other meetings as requested
  • Coordinating welcome/birthday/good-bye cards, lunches, etc.
  • Provide administrative support to Board of Directors, executive committee and board meetings
  • Coordinate food and meeting arrangements
  • Prepare and distribute required notices
  • Prepare board packages, agendas and collect minutes for distribution and retention
  • Donor Perfect or software experience preferred
