File Room Supervisor


Summary/Objective

  • Under the direction of the Processing Manager the File Room Supervisor will be responsible for leading a team of full time and temporary staff to maintain, retrieve, track, store and organize Energy Services program files on and off site.



Essential Functions

  • Maintain responsibility for the efficient, secure and accountable moving of files that could be retrieved for easy access, stored in security and, when required, disposed of in accordance with regulations and procedures.
  • Direct staff in moving and tracking of files .
  • Oversee the inventorying and controls of all files for easy retrieval.
  • Coordinate moving of files for storage, shredding and other dispositions between downtown location and contracted storage or other sites.
  • Perform related duties as assigned.

  • Proficiency with Microsoft Office Suite and web-based applications

  • Ability to support and work within a team to meet production goals.
  • Ability to handle and manage multiple projects simultaneously through a systematic approach.
  • Proven strong problem-solving skills.



Supervisory Responsibility

  • Supervise full time and temporary staff



Work Environment

  • This job operates ninety percent of the time in the Central Office with controlled noise levels and temperatures.
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.



Physical Demands

  • While performing the duties of this job, the employee is occasionally required to stand; walk; sit for longs periods of time; use hands to finger to operate a computer keyboard; handle or feel objects; reach with hands and arms; climb stairs; balance; or stoop; talk or hear. The employee must occasionally lift or move up to 20 pounds.
  • Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.



Required Education and Experience

  • High School diploma or GED required.
  • Computer literate and possessing good writing skills, and able to follow and give instructions. Strong demonstration of attention to detail.



Preferred Education and Experience

  • At least three years' experience in major paper-based filing systems required, preferably in a governmental or other regulatory environment
  • Some supervisory experience desirable.
  • Ability to perform physical functions of moving files, cabinets and related labor required.
  • Valid Illinois driver's license and insurability required
