Shipping Clerk

Job Duties:

  • Prepare, review, and process all outbound shipping documentation including Bills of Lading, packing lists, and shipping manifests; verify accuracy of all documents prior to shipment departure.
  • Enter and maintain accurate shipment records in Sage X3 ERP and relevant shipping systems; ensure all system transactions are completed in a timely and error-free manner.
  • Coordinate with freight carriers and truck drivers to schedule outbound pickups; communicate shipment schedules, documentation requirements, and any changes to the Shipping Supervisor and relevant stakeholders.
  • Verify outbound shipment contents against sales orders, BOLs, and production schedules; identify and communicate any shortages, overages, or discrepancies to the Shipping Supervisor immediately.
  • Track outbound shipments from departure through delivery confirmation; proactively communicate any transit issues, delays, or exceptions to the Shipping Supervisor and Customer Service team.
  • Assist with inbound receiving documentation as directed; verify and file receiving paperwork accurately.
  • Conduct and assist with inventory counts and cycle count activities as required; report discrepancies to the Shipping Supervisor.
  • Answer incoming phone calls and respond to emails related to shipment inquiries, carrier coordination, and documentation requests in a professional and timely manner.
  • Maintain organized and audit-ready filing systems for all shipping documentation including BOLs, freight invoices, delivery confirmations, and carrier correspondence.
  • Order and maintain an adequate supply of shipping materials including labels, forms, and packaging supplies; report low inventory levels to the Shipping Supervisor.
  • Follow all food safety, GMP, Food Defense, and quality policies at all times; report any food safety concerns or incidents to the Shipping Supervisor immediately.
  • Ensure compliance with all applicable DOT, carrier, and regulatory documentation requirements for outbound shipments.
  • Provide general administrative support to the shipping department including photocopying, filing, data entry, and other clerical tasks as directed.
  • Assist in training new shipping team members on documentation procedures and system processes as directed.

Requirements:

  • High school diploma or equivalent required; Associate's degree in Business, Logistics, or a related field preferred.
  • 1–3 years of shipping, logistics, or warehouse administrative experience in a food manufacturing or distribution environment preferred.
  • Solid understanding of shipping documentation including Bills of Lading, packing lists, and freight manifests.
  • Experience with Sage X3 ERP or similar ERP/WMS systems preferred; training available for the right candidate.
  • Intermediate proficiency in Microsoft Office Suite (Excel, Word, Outlook); ability to input, manipulate, and report on shipping data.
  • Strong attention to detail and accuracy in documentation, data entry, and shipment verification.
  • Excellent verbal and written communication skills; ability to interact professionally with carriers, truck drivers, and internal team members.
  • Strong organizational and time management skills; ability to manage multiple tasks simultaneously in a fast-paced shipping environment.
  • Knowledge of food safety standards including GMP, HACCP, and Food Defense policies preferred; training provided.
  • Ability to work in varying temperature environments including cold storage areas on a case-bycase basis.
  • Ability to lift up to 25 pounds; able to stand, walk, and move about the facility for extended periods.
  • Ability to work flexible schedules including early mornings, evenings, weekends, and holidays as operational needs require.
  • Team-oriented with a strong work ethic and commitment to accuracy and operational excellence.
  • Bilingual (English/Spanish) is a plus for effective communication with carriers and plant-floor team members.
